What information is collected from you?
As a member or customer of Basingstoke Sports Trust, we need to collect certain information, such as, name, address, date of birth, email address, contact telephone number, Bank and payment details, medical information and the number of times you visit and/or the activities you use within the building. Other information we might collect include fitness objectives, next of kin and reason for joining Basingstoke Sports Trust.
We may ask to collect information including gender and ethnicity and whether you have a disability in order to ensure our services are suitable and appropriate. However, you are under no obligation to provide these details to us.
How is your information used?
We may use your information to:
- Meet our obligations arising from memberships of the Trusts facilities entered into by you.
- Meet our obligations arising from the use of the Trusts facilities that you have decided to use by way of a casual or pay and play agreement entered into by you .
- Seek your views or comments on the services we provide.
- Notify you of changes to the products and services we supply to you, under the terms and conditions of your membership.
- Send you communication which you have requested; about products and services we may supply in the future.
- To process your online bookings and any other transactions you make via our website.
How do we keep your data safe?
Basingstoke Sports Trust licences an external data processor that is registered as a Data Controller with the Information Commissioners Office (“ICO”) and is instructed by us to process your data in line with the requirements of the Trust.
How long do we keep your data for?
We review our information retention periods of personal information on a regular basis. We will hold your personal information on our licenced system for as long as is necessary for the relevant activity and membership agreement you have with us. Where you request that we delete your personal data Basingstoke Sports Trust will make reasonable attempts to delete all instances of the information in their entirety, so long as the information held does not impinge on any legal requirements that Basingstoke Sport Trust have to keep your personal data.
Who has access to your information?
Your personal data will be treated as strictly confidential and will not be sold, leased or shared with third parties for any purpose unless we have your permission or we are required to do so by law or legal process.
You have a choice about whether or not your wish to receive information from us. Should you no longer wish to receive direct marketing communications via email, then you can unsubscribe upon receipt by clicking the “unsubscribe” link at the bottom of the page. We are not restricted in contacting you in regards to a membership contract that you have with us, or from informing you of changes or disruptions to services, e.g closure due to adverse weather conditions.

You have the right to ask for a copy of the information Basingstoke Sport Trust holds about you by contacting us at [email protected]. We will request you complete a Subject Access Request Form (SAR). Once received and depending on the nature of the request, we will respond within 30 days. Basingstoke Sports Trust operates a Data Protection Procedure which is in line with the General Data Protection Regulations 2018.
